Job Title: Project Manager – IT and Services Department: Operations
Reports to: Director of Operations Effective Date: June 1, 2024
Salary Range: $80,000 + FLSA Status: Exempt
Type: Full-Time Hours/Week: 40+
Core Purpose:
Define project scope, goals, and deliverables. Develop comprehensive project plans, including resource allocation, scheduling and timelines, and risk management.
Job Summary:
Provide leadership and guidance to project teams. Foster a collaborative and productive team environment. Lead stand-ups, sprint planning meetings and retrospectives. Take notes and communicate information to all parties necessary. Report feedback on projects to appropriate stakeholders. Ensure blocked tasks are dealt with quickly and help organize third-party communications with vendors.
Duties/Responsibilities:
- Develop project plans, defining scope, objectives, and deliverables.
- Lead project teams, manage project timelines, track progress, and ensure projects are delivered on time.
- Serve as the primary point of contact for stakeholders. Communicate project status, issues, and risks to all stakeholders effectively. Coordinate and set up meetings for blocked tasks and questions that come up. Effectively triage incoming issues and help the IT team gather more details if requests are not clear.
- Ensure all projects meet the company’s quality standards and requirements. Help delegate UAT to the appropriate teams and ensure that those tasks are completed in cadence with releases to ensure smooth updates. Maintain and advocate for monthly release cadence along with Stakeholders.
- Assign tasks to team members, ensuring that resources are allocated effectively and efficiently. Monitor resource utilization and adjust allocations as needed to optimize project performance.
- Facilitate communication among project team members, stakeholders, and leadership. Provide regular updates on project progress, milestones, and issues. Resolve conflicts and address concerns in a timely manner.
- In conjunction with the IT team and Stakeholders, identify potential risks and develop mitigation strategies. Proactively address issues to minimize project impact.
- Maintain comprehensive project documentation. Prepare and present regular project status reports to stakeholders and senior management.
- Ensure functionality of automation (Microsoft Power Automate and PowerBI) and report any issues to IT team. Daily check-ins on the Occu-Med website (WordPress website) and Microsoft Forms. Assist the Director of Training and Analytics in building out requested reports in Power-Bi.
- Continue to foster engagement with the director’s team on project management skills, techniques, time management and organization habits.

Required Skills/Abilities:
- Strong understanding of IT infrastructure, software development, and IT service management.
- Proficiency in project management tools and methodologies (e.g., Agile, Scrum, Waterfall).
- Familiarity with common Project Management tools (ClickUp, JIRA/Confluence, Asana, etc)
- Proficiency in active listening, effective questioning, facilitation, stakeholder engagement, negotiation, and basic technical understanding to gather and clarify project requirements effectively
- Proficiency in Microsoft Suite of tools for reporting and analytics.
- Excellent verbal and written communication skills.
- Strong analytical and problem-solving skills. Ability to think strategically and make sound decisions under pressure.

Education and Experience:
- 7 years (or greater) of experience in Project Management – required
- 5 years (or greater) of experience in Information Technology and Services management – preferred
Analyst I-IV
The Analyst I position at Occu-Med is an entry-level, foot-in-the-door opportunity to work in a team environment. Training is hands-on and intended to develop the capability of an entry-level Analyst into that of an experienced consultant who can assist employers and job applicants in all facets of our pre-placement medical evaluation service. Throughout the course of your early career with Occu-Med, you can expect to participate in the administration of Occu-Med’s medical providers relations, scheduling, and exam quality assurance services. More specifically, Occu-Med Analysts:
– Work with the Occu-Med Network of Medical Providers to ensure that examination results are received at the earliest opportunity possible
– Schedule pre-placement medical examinations for Occu-Med’s clients’ candidates
– Review examination results to ensure completeness, accuracy of testing performed and thoroughness of requisite documentation
– Communicate with human resources, risk management and medical professionals to facilitate the pre-placement medical evaluation process
– Prepare Medical Examination Summary Reports to communicate Occu-Med’s recommendations to its clients
– Serve as a resource for medical-legal inquiries submitted by Occu-Med clients
